New Wizard

This doesn’t affect any of our existing users, but we have revamped and streamlined the sign up Wizard. It’s leaner and faster.

Trade Me data displayed up to 45 days

The Listings, Questions and Feedback screens were starting to get a bit overloaded with very old data. So just like Trade Me, we now only display the listings for the last 45 days.

Don’t panic we haven’t deleted or trashed any of your Trade Me data. You can still run a Trade Me Listing Detail report for any time period you want.

Channel Name added to the Sales Report

The Channel Name has been added to the Sales report. This is useful if you have multiple Trade Me or Shopify accounts.

Org logo

The Organisation logo has now been merged in with the Organisation Details screen.

Importing Product Changes

There are no importing changes for this release.

Key Bug Fixes

  1. Not all the inventory counts were being updated for BoM products that were linked to multiple BoM kits.
  2. Shopify wasn’t always updated with the latest photos when re-importing your products. Tradevine is now regarded as the master and every photo that exists on the product will now be updated to Shopify.

What’s Next?

  • We are getting very close to releasing our first phase of our API. This will allow you to hook into Tradevine from your own software. Phase one will be limited to approved users and is likely to contain the ability to retrieve sales orders, confirm shipments and adjust inventory.
  • Some back end improvements.

‘Buy Now Only’ Listings

Trade Me are making a major change to how Buy Now Only (BNO) listings with multiple quantities work. Currently, when a buyer purchases any quantity the listing closes. In future, the listing will remain active until all of the listing quantity has been sold, or until the scheduled end date.  This means that you can have multiple sales, to different buyers, for a single listing.

For all sales, buyers will now be presented with a new Purchase reference number  instead of the listing number. We will use this ‘P’ number as the reference on your sales orders. You may need to reword your payment instructions to include this reference change so the right number is on your bank statement.

Watch for an announcement from Trade Me for when this exciting change will take effect.

New Product Sales Metric Chart

A new screen called Product Sales Metrics has been added. You will be able to view the sold quantities, values, profits and margins for the specific product you select.

Xero

Occasionally Tradevine is losing authorisation with Xero. We have made some changes to alert you when Tradevine and Xero are not communicating correctly.  We are working hard to resolve the authorisation problem.

Shopify orders

Every 5 minutes we now make an arbitrary check of Shopify for any missed orders. Sometimes Shopify was not notifying us that an order had just been created.

PDFs

We have changed the tools we use to generate PDF documents. You should also now be able to print PDFs faster and to handle larger bulk-print batch sizes.

Reports

Sales Channel has been added to the Sales report.

Public Order Notes has been added to both the Sales and Shipment reports.

Printed Date on Shipments List screen

The Shipments List screen now includes a Printed Date column. It is also now possible to filter the Shipment List screen by the Printed Date.

Fast Shipping email options

The email settings in Fast Shipping are now retained after logging out (These are stored in the same long-term cookie that the list page sizes are – so they will be remembered as long as the cookies are not cleared).

Turn Trade Me on or off

It is now possible to temporarily disable and enable the Trade Me channel. This should be done with care.

Sortable Trade Me listings

On the Listings screen you can now sort your listings by when they started or when they are due to finish.

Link to Trade Me listings from listing rule

A new link has been added to the sidebar of the listing rule when no listings exist for the listing rule, the link takes you to the Listings screen and filters on that product and listing rule.

Importing Products changes

We have some users who run daily long running imports to update their product or listing rule details. This can lead to full consumption of server resources for the duration of the import, resulting in page load delays for other users. We have implemented a 50 millisecond throttle for each row of the import which should lead to a small increase in the overall import duration but will help maintain the responsiveness for other users of the system while the import is running.

Key Bug Fixes

  1. The Shipment method was missing from the Pick Lists.
  2. The creation of the Xero transactions was sometimes interfering with the saving of sales orders.
  3. Draft purchase orders created when running auto re-ordering were erroneously taking Trade Me listings and Fixed Priced Offers into account.
  4. Fixed Price Offers were being made for BoM type products when there wasn’t enough stock to cater for the offers.
  5. When BoM type products were partially shipped with no back orders, the sales order was showing a count for a full shipment. For this scenario, the sales order now shows a Partially Shipped link that takes you to the latest shipment for the sales order.
  6. Exporting more than 20 products was sometimes an issue when using Internet Explorer.

Support over Holiday period

Bill of Materials (Kits)

It is now possible to create products that are kits. A kit is a product that is made up of several other products e.g. a mobile phone kit could consist of a case, a charger and a screen protector.  The components of a kit (case, charger & screen protector) are defined on the Bill of Material (BoM) tab of the parent product (mobile phone kit).

Parent products with a BoM must be non-inventory products. The component products can be of inventory and non-inventory type as desired.

The Available to Sell of the parent kit is calculated based on the component with the least Available to Sell, taking into account how many of each components are required in each kit.

Listings, sales orders and invoices will all refer to the parent product, whilst the shipments, pick-lists and packing-slips will refer to the component products.

If you are importing or exporting BoM type products, then you will be interested in the following new fields:

  • BoM Component Product Code – (Bill of Materials).
  • BoM Component Quantity – (Bill of Materials).
  • BoM Remove Component – (Bill of Materials).

Auto import Trade Me listings to Tradevine

As part of the normal 5 minute poll of Trade Me, we will now check all of your active listings.  If we find a listing that is not currently in Tradevine then we will automatically import it, provide we can match the details to an existing product/listing-rule combination.

New menu layout

We have given the top level menus a make-over. The text links at the very top of the screen have been replaced with icons.

Remove suppliers from products on re-import

It is now possible to delete suppliers from products during an import.

If you are importing with the intention of deleting suppliers from your products, then you will be interested in the following new field:

  • Remove Supplier Product – (Suppliers).

Labels button on Trade Me Listing Rule Product List views

The Labels button has been removed from the Trade Me Listing Rules view.

Importing Products changes

If you import or re-import your products then you may be interested in the following changes.

  • BoM Component Product Code – (Bill of Materials).
  • BoM Component Quantity – (Bill of Materials).
  • BoM Remove Component – (Bill of Materials).

Key Bug Fixes

  1. If you were logged into Tradevine twice in two tabs in the same browser, then when you logged out of one session there were inconsistent results in the remaining session.
  2. HTML markup in product data such as name or description sometimes caused page crashes.

Gallery Plus

It is now possible to create Trade Me listings using Gallery Plus.  If you are unfamiliar with Gallery Plus you can read more here.

We have changed the way that Tradevine makes listings on Trade Me. Previously the autolister always made a new listing, never a relist.  Now we will always try to relist a closed listing and only create a new listing if this is not possible.

This has 2 benefits:

  • Gallery Plus is now supported
  • an email will be sent by Trade Me to any watchers pointing them to the relisting.

Be aware that it is not possible to relist any of the following:

  • withdrawn listings
  • listings with open FPOs (Fixed Price Offers)
  • listings older than 45 days
  • listings in classified categories like Livestock or Earthquake.

In order to switch on Gallery Plus you need to turn on the new option in the ‘Extras Selection’ part of either the Product Listing Rule or the Global Listing Rule.  If you plan to set this on the Product Listing Rules then consider using the export/import feature to mass update.

HTML restricted product and listing rule descriptions

Because of the inconsistencies arising from trying to interpret HTML in the Product Description and the Listing Rule Descriptions, when importing products, we now attempt to automatically remove any HTML tags.

HTML editor for Shopify product descriptions

We have added a HTML Editor button to the HTML toolbar on the product’s Shopify description. This allows the HTML gurus to edit the product description directly in HTML format.

Shopify product URL & handle now editable

We have made the product’s Shopify URL and Handle available for viewing and modifying. This is useful if you want to create meaningful URLs.

Line spacings for the Shopify product descriptions

You can now configure your Shopify product descriptions with large or small line spacings. Use SHIFT+ENTER to create a small line spacing and just ENTER to create a large line spacing.

Importing Products changes

If you import or re-import your products then you may be interested in the following changes.

  • Gallery Plus – (Trade Me).

Key Bug Fixes

  1. New listings were sometimes failing to be created when the category was changed from a category that previously had attributes.
  2. In Xero, all the line items on a Credit Note were being attributed only to the sales account instead of the account mapped for each product.
  3. Deselecting the Same as Billing address checkbox now clears the shipping address fields on a sales order.
  4. When a user corrected the unpaid subscription on their account Tradevine was failing to update the account status.

Changes to Tradevine

Import sales orders

It is now possible to import your sales orders into Tradevine from a CSV type file. This should be useful for users with OpenCart and Magento web-stores. If you are exporting your sales orders from Magento or OpenCart, then please contact us about installing an Extension to assist with creating your export files or view our Help file instructions.

The Import Orders screen can be found under the Sales menu.

Reconcile unpaid sales orders against a bank statement

If you’re not integrated with Xero, you can now reconcile your unpaid sales orders by importing an online file from your bank.

The QIF type file (Quicken Interchange Format) can be downloaded online from your bank. From the Reconcile Orders screen (under the Sales menu), simply upload the QIF file. You can then match bank deposits to sales orders. Whenever you select a bank deposit, we will attempt to best guess the sales orders which match, by targeting the bank’s reference fields and the dollar value of the sales order. You can then opt to mark any matching sales orders as paid or you can ignore any of the remaining unmatched items.

Australian Trade Me shipments

We can now create sales orders for any Trade Me sales, that include an Australian shipping address.

If you configured your global Trade Me settings to flag invalid or unknown addresses, then the sales orders with Australian shipping addresses will also be flagged for your attention.

Faster loading Product Lists

We have made some changes behind the scenes, to improve the speed performance of the Product List views.

Bulk process shipments

It is now possible to confirm multiple shipments in bulk from the Shipments List. This option allows you to email the shipment details to your customers, but you won’t be able to download any paperwork for the shipments.

If you prefer to include the tracking references for each shipment, then may prefer to use Fast Shipping instead.

Large pop-up images

You can now view a larger version of your listing and product thumbnail images by clicking on the thumbnail. This will pop-up a larger image. Just click on or outside the image to close the pop-up.

Product volumes

Now when you view the details of a product, the Information tab includes the product’s volume. This will only be calculated if the length, height and width have been provided.

Find sales orders with public notes

The Dashboard now has a new link called Sales orders with public notes. This will link to the Sales Orders List and show all the sales orders that are either Pending or Awaiting Shipment, that have public notes. This is useful for sellers if their customers input colour or size or specific shipping instructions in the buyer message in Trade Me.

Alternatively, you can search the Sales Order List yourself by applying a filter using the With/Without Notes options.

Confirm purchase orders without sending emails or PDFs

When confirming a purchase order, you previously had the options to email or print a PDF. Those options are still available, but now you also have the option to bypass emailing or printing a PDF.

Importing Products changes

There are no changes to product importing for this release.

Key Bug Fixes

  1. The TOLL tracking reference landing page has been updated.
  2. The should pay in Xero warning prompt is no longer displayed for Cash type sales order.
  3. The Trade Me listing description and footer were sometimes blowing out because of inconsistent hidden escape characters.
  4. Sales orders paid in Xero were not being detected if the sales order was updated in Tradevine after a partial payment was made in Xero.

Changes to Tradevine

Post pay sales orders

It is now possible to also ship your sales orders without waiting for payment.

When the Payment Terms on the sales order are set to anything other than immediate, then you will be able to ship without payment. The payment terms will default to immediate for all your Trade Me and Shopify sales. Otherwise, the payment term will be derived from your customer record each time a sales order is created. When the payment term is not set to immediate, then the payment due date will be set once you ship the order and it will be based on the payment term duration. For example, if the order was created on the 7th with a payment duration of 14 days and shipped on the 10th, then the payment due date would be the 24th.

Option to include or exclude the SHIP product from your reporting metrics

You can now configure your reporting metrics to exclude or include the default SHIP product. This will also affect some of the Dashboard values.

The checkbox setting can be found on the Trade Settings screen. By default this is set to include the SHIP product.

Cancelled sales orders excluded from reporting metrics

Cancelled sales orders are no longer included in the sales and products reporting metrics.

Chrome iOS

We now support Chrome iOS, which is used on devices like iPad and iPhone. So you should be able to login and do whatever you need to do using a Chrome iOS device.

There are a few limitations to using Tradevine on a Chrome iOS device:

  • DYMO printing will not work.
  • Barcode scanning is not currently possible.
  • Importing files will not work.
  • Downloading PDFs will not work.

Turn Inventory Tracking on or off at any time

You can now turn Inventory Tracking on or off whenever you like. The only restriction is that inventory tracking can only be turned off providing the products SOH (stock on hand) is zero. You may need to first do an inventory adjustment in this case.

Manually create bulk Trade Me listings

It is now possible to create multiple manual listings. From the Trade Me Listing Rules product view select the checkbox to the left of each product listing rule in the list and then select the Create Listings button. You will then be given the option to set the duration and end time for all the listings.

New Cancelled status for sales orders

We have introduced an additional sales order status called Cancelled.

The distinction between Completed with Cancellations and Cancelled is that Completed with Cancellations is used if any part of the order was shipped.

Sales Order List changes

We have made a few small changes to the Sales Orders List screen.

  • An icon showing which selling channel the sales order originated from is now displayed in a new column called Type.
  • The Customer Name column now shows both the customer name and the username for Trade Me sales orders.
  • Now able to filter search the Sales Orders List by partial matches on a customer name.
  • Now able to filter search the Sales Orders List by selling channel Type.
  • Now able to filter search the Sales Orders List by Total sales order value.

New Shipments report

A new Shipments Report has been added, which details all your shipments and products.

Alternate Product Code added to the Inventory reports

The Alternate Product Code has been added to the Inventory reports.

Alternate Product Code added to the Stocktake search

You can now search the Stocktake screen for products with an Alternate Product Code.

Printing any combination of Shipment documents now updates the shipment status to Awaiting Pack

Now when you auto print or reprint any combination of your shipment documents and labels for shipments which have an existing status of Awaiting Print, then the shipment status will be automatically updated to Awaiting Pack. This also includes the combination of opting to not print any documents or labels.

Customer phone numbers added to Invoice type A

Invoice type A now includes the customers phone and mobile numbers on the Shipping Address panel.

Trade Me listing failures label replaced

We have revamped the way we let you know that some of your Trade Me products have failed to list. Previously if a product failed to list, we would label the product. Since it is now possible to have multiple listing rules for a product, we now flag the specific listing rule for the product, which failed to list.

The Dashboard link and its counter are unchanged, so you can still use the link to quickly find the products which have failed to list. The Trade Me Listing Rule product view filter now includes the option to search by Has Listing Failure.

The Trade Me Listing Failure label has been replaced with a Listing Failure checkbox on the products listing rule. The checkbox is only enabled when there is a failure. The checkbox is automatically cleared when a new listing is created.

Hyperlink to manually created Trade Me listing

Now when you manually create a solitary Trade Me listing the pop-down confirmation includes a hyperlink to the actual listing in Trade Me.

Product Name instead of Listing Title when submitting automatic feedback

The Product placeholder tag on Automatic Feedback now displays the product name instead of the listing title.

Ability to add line notes, public notes and private notes to any status of sales order

Now you can add or edit the line notes, public notes and private notes of a sales order, at any stage including completed or cancelled.

Unsaved Line Notes on a sales order now prompted to be saved when exiting

Line Notes on a sales order are only saved when the sales order is saved. Now if you add or edit your Line Notes and these have not yet been saved when exiting, a prompt will be displayed, which reminds you that you have unsaved changes.

Option to oversell your Shopify products

A new Allow overselling checkbox has been added to your Shopify product settings. This allows you to configure the products you are happy to oversell on.

If you are importing then you will need to add the Shopify Allow Overselling field to your import file.

Xero hyperlink to product inventory journals

If you are integrated with Xero, it is now possible to link directly to a products inventory journal in Xero, by selecting the link for the inventory transaction under the Transaction Type column.

Warning prompt when marking the sales order as paid before updating Xero

If you are integrated with Xero and opt to mark your sales order as paid before it has been marked as paid in Xero, we will now display a warning prompt.

Quick find customers by their email addresses

When adding customers to a sales order, the customer search now allows you to find existing customers based on partial matches of their email addresses.

Page sizes

We have modified the way page sizes work when viewing lists like your products and sales orders etc.

Each time you change the page view count to either 10, 20 or 50 items at a time, the new count will be used as a default for any other lists you visit. The last used page view count will also be remembered each time you log in.

Product importing/updating

We have made a few cosmetic changes to the product importing screens to help clarify what each type of importing does. As well as, to help let you know that importing is also a way of updating your products in bulk.

  4. Existing product category attributes were cleared out in error when importing without mapping the category attributes fields.
  5. The re-importing of Trade Me products with multiple selling quantities was failing when importing from an exported file.

Release Notes – 7 September 2012

Changes to Tradevine

New Product Views

We have given the Product List a big make over. There are now a few different views with an abundance of tabs to select under each of the following views:

  • Product Information
  • Suppliers
  • Trade Me Listing Rules
  • Shopify Products

The new views now include product thumbnails and inline labels.

You can also easily and quickly find the products, which do and don’t have rules or listings, as well as, which products have been configured for auto-listing etc.

Each view has its own set of search filters and quick action buttons. We will be adding more bulk actions to this in the future, e.g. bulk listing.

Trade Me Listing report

A new Trade Me Listing Detail report has been created, which provides a lot of information about all your listings.

The report can be configured to target specific date ranges, as well as individual products.

Saving your Shopify products

We have changed the way Shopify products are initially created, so they mimic the way Trade Me products are first created.

This is more apparent if you have multiple Shopify stores. When creating a new product the “other” stores will no longer be defaulted with the same product data, until you opt to add the Shopify settings to the product itself for that store.

Inventory Adjustment default

Now when you make an inventory adjustment to a product, which is not a stocktake or EOY reconciliation type adjustment, the quantity will default to 1, until you opt to change it.

Photos

In some circumstances, when uploading bulk photos we sometimes duplicated the image in error.  So we have changed the way that we handle bulk photo uploads.  The main effect is that if you want to replace previously uploaded photos then you must first re-import the Photo Identifier before triggering the bulk photo upload.  The procedure for importing of new photos is unchanged.

Blank line separation above the Listing Footer text

We now separate the global footer text on your listing from the listing description with a blank line.

Changes to Importing Products

The only change to this release affects exporting not importing. We no longer export the Photo Identifier on the product Core Details (now known as the Product Information export) export.

Key Bug Fixes

  1. When selecting all the products on the current view of the Product List, it wasn’t always possible to discern, which labels were or weren’t assigned.
  2. Previously when confirming a sales order or a shipment etc, the status would change, which meant it was not possible to get to the next document without exiting and opening the next document. We have fixed this now for most scenarios.
  3. We now retrieve our thumbnail images over https, so you should no longer encounter the mixed content warning on the Listings screen.
